Start with the mission, not the airframe
Write down the outcome the team needs to achieve: inspection, situational awareness, mapping, search and rescue support, emergency response, or another defined workflow. Then describe the operating environment, expected task duration, observation needs, crew structure, and how the data will be used. This prevents a bare-aircraft price from becoming the main comparison when the practical workflow needs more than an aircraft alone.
Confirm the operating context
- Who will operate the system and who will own the output?
- What site conditions, deployment constraints, and weather planning assumptions apply?
- Does the team need visual observation, thermal observation, mapping data, loudspeaker communication, lighting, or another payload capability?
- What training, maintenance, storage, and transport processes already exist?

Define the configuration you want priced
Ask for a configuration breakdown rather than a single total. Clarify the commercial scope
Before requesting a quote, confirm the currency, whether the listed scope is equipment only or includes services, and what exclusions should be called out. Ask how configuration changes will affect the quote. Do not treat an indicative online price as a complete procurement commitment: availability, destination review, end-user and end-use review, shipping method, taxes, duties, local import requirements, and local operating approvals can change what is appropriate for a specific order.
Prepare destination and compliance information
Share the intended destination, the legal purchasing entity, the end user, and the intended civil end use early enough for a responsible review. Export, import, sanctions, end-use, product availability, local aviation rules, and any required permissions vary by destination and circumstance. A supplier should not promise shipment, customs clearance, or flight authorization before the relevant checks are complete.
Ask about acceptance and support
Procurement does not end at delivery. Decide what the team needs to verify on arrival, who will inspect the equipment, how serial records and accessories will be checked, and what support path will be used after delivery.
